Your information in Crewbook.

Who we are

Crewbook is provided by Dafydd Thomas Software Ltd (“we”). We are the data controller for account and billing information, and we process your company’s workspace content on your company’s behalf.

What we collect

Your name, email address and sign-in details; your company’s name and settings; the content your company publishes; team membership; and activity records such as reads, acknowledgements, course results, qualifications and audit events. We keep your plan and subscription status, not your card details.

How we use it

To provide your workspace, keep it secure, send invitations and reminders, run your subscription and support you. We do not sell personal information or use advertising trackers. Crewbook uses essential cookies to keep you signed in.

Who helps us

We use trusted providers to run Crewbook: Clerk for sign-in, invitation emails and subscriptions; Stripe for card payments; Convex for data and file storage; Vercel for hosting; and OpenAI for Crewbook AI requests, which include your prompt and relevant published content and are not used to train models. Some of these providers process data outside the UK, including in the United States, under appropriate safeguards.

Who can see workspace data

Managers in your company can see work-related activity in their workspace. Workspace owners can export their company’s records at any time from Settings.

How long we keep it

We keep workspace data while your company’s account is open. When an account is closed we delete its workspace data within 90 days, except where we must keep billing records by law.

Your rights

You can ask to access, correct or delete your personal information, or object to how we use it, by emailing privacy@crewbook.net. If your company manages your account, we may pass your request to them. You can also complain to the Information Commissioner’s Office (ico.org.uk).
